Fitness – Terms & Conditions
Thank
you for choosing to train with Geelong Fitness. Our goal is to deliver a
structured, results-driven coaching experience through every program we offer.
These Terms and Conditions are designed to maintain clarity, fairness, and
consistency across all memberships and services. By becoming a member of
Geelong Fitness, you agree to the following terms.
1.
Membership Overview
At
Geelong Fitness, every membership is designed around purpose, structure, and
measurable results.
We operate as a coaching-first training environment where progress is tracked,
standards are upheld, and every session has intent.
Membership options include HyFit Membership, Geelong Fitness
Membership, and Youth Fitness Membership — all governed by the same
terms and conditions to ensure a consistent and professional member experience.
Personal Training is available as an additional coaching service and
follows the same standards and policies where applicable.
2.
Payments & Billing
All
memberships are billed weekly or monthly via PayChoice. Members are responsible
for ensuring their billing details remain current and can update them through
GymMate. If a payment fails, it will automatically be retried after 3 days (for
example, a failed payment on Monday will be retried on Thursday). A fee applies
for failed payments, which will be charged to the member. It is the member’s
responsibility to ensure sufficient funds are available on their scheduled
payment date.
3.
Cancellations and Suspensions
A
minimum commitment of 6 weeks applies to all new memberships.
Cancellations require 14 days’ written notice via the official Cancellation

Suspensions require 7 days’ notice via the Suspension Form:
The notice period begins once the form is submitted. Requests will be confirmed
via email within 7 days. Membership access and billing remain active during the
notice period.
4.
Refunds & Credits
No
refunds are provided on upfront payments, memberships, or missed sessions.
Credits may be issued at the discretion of Geelong Fitness for extenuating
circumstances. Refunds are provided only where required under Australian
Consumer Law.
5.
Bookings & Attendance
All
classes must be booked through the GymMate App. Members must check in upon
arrival using the check-in iPad or with staff assistance. Missed or late
cancellations may result in restricted booking privileges during peak periods.
Members are expected to arrive prepared, follow coaching direction, and uphold
the professional standards of the facility.
6.
Conduct & Facility Use
All
members must complete the set training program provided for their membership
and are not permitted to perform their own training plan during scheduled class
times. This excludes open gym access where applicable. Members must maintain
respect toward coaches, staff, and fellow members at all times. Gossip,
negativity, or disruptive behaviour will not be tolerated. Geelong Fitness
reserves the right to terminate any membership at any time if a member’s
actions or behaviour do not align with our culture, values, or code of conduct.
7.
Termination by Geelong Fitness
Membership
may be suspended or terminated if payment remains overdue for more than 14
days, if a member breaches the Code of Conduct, or if their behaviour is deemed
unsafe or inappropriate. Written notice will be provided prior to termination.
8.
Personal Training Add-On
A
minimum of 48 hours’ notice is required to reschedule a Personal Training
session. Sessions may be rescheduled within 7 days of the original booking.
Late cancellations (under 48 hours) or no-shows will be charged in full. If a
client is more than 20 minutes late without notice, the session will be
forfeited. Emergencies or illness may be exempt at the coach’s discretion. All
payment adjustments or PT-related queries must be sent to
hello@geelongfit.com.au.
9.
Kids Zone
Children
are welcome under the supervision of a parent or guardian. Children must remain
within the designated Kids Zone area at all times. Staff are not responsible
for supervision or care. Parents or guardians are responsible for their child’s
safety and belongings. Any disruptive or unsafe behaviour may result in
restricted access to the Kids Zone.
10.
Health & Liability
Training
at Geelong Fitness involves physical exertion and carries inherent risk.
Members participate voluntarily and are responsible for ensuring they are
medically cleared to exercise. Geelong Fitness, its staff, and contractors are
not liable for injuries, loss, or damage sustained during participation, except
where required by law.
11.
Privacy & Data Use
Member
information is collected for administrative, communication, and program
delivery purposes. Data is securely stored through Kilo Gym Lead Machine,
GymMate and PayChoice in accordance with Australian privacy laws. By joining
Geelong Fitness, members consent to receive communication via email, SMS, or
the GymMate App. Personal information is not shared with third parties except
where required by law.
12.
Photography & Media
By
participating in any Geelong Fitness program or attending the facility, members
consent to the use of photographs and video taken during sessions. These
materials may be used for marketing, promotional, and social media purposes.
Consent is automatically granted upon membership and cannot be withdrawn
retroactively.
13.
Variation of Terms
Geelong
Fitness reserves the right to update these Terms & Conditions as required.
Any significant changes will be communicated via email or posted on our
website.
14.
Acceptance of Terms
By
signing up for a membership, booking a session, or participating in any Geelong
Fitness program, you acknowledge that you have read, understood, and agree to
these Terms & Conditions.
