Geelong Ninjas | Membership Terms & Conditions

1. Class Structure & Membership

All Ninja classes are 45 minutes long and run in alignment with the Victorian Government school terms. Our memberships are a term-by-term commitment and will automatically roll over each term to secure your Ninja's spot.

2. Membership Options & Fees

A $40 Start-up Fee applies to all new memberships. This includes a personalised Geelong Ninjas Training Tee and your starter Yellow Ninja Band. Start-up fees are debited immediately; please allow approximately 4 weeks for T-shirt delivery.

• Option 1: Single Ninja

  • 1 x 45-minute weekly class + 2 x Ninja Class Tokens per term.

  • Price: $840 Annually | $210 Quarterly | $35 Fortnightly.

• Option 2: Double Trouble

  • 2 x 45-minute weekly classes + 3 x Ninja Class Tokens per term.

  • Price: $1440 Annually | $360 Quarterly | $60 Fortnightly.

3. Payment Schedule

• Annually: Paid upfront.

• Quarterly: Debited on Thursday of the first week of each term.

• Fortnightly: Smoothed over 24 payments per calendar year. Payments are paused for 4 weeks over the Christmas/New Year period.

• 2026 Payment Schedule:  16th January to 5th December. Payments pause from 12th December.

• Dishonour Fees: While we do not charge payment fees, our provider (Paychoice) charges $8.80 for dishonoured payments and will retry the debit in 3 days.

4. Ninja Tokens & Public Holidays

• Term Tokens: Issued each term for Ninja Play sessions or Band Gradings. These are an optional bonus, non-transferable, and valid for 12 months while your membership is active.

• Public Holidays: We are closed on all Public Holidays. If your class falls on a holiday, you will receive a token valid for 12 months to attend an alternate class or play session.

5. Absences, Transfers & Suspensions

We understand life happens! To manage your schedule, please visit our FAQ Page for the following forms:

• Absences: 2 weeks' notice is required for planned absences (camps/holidays) to request a makeup class (subject to availability).

• Class Transfers: Request a permanent change to your Ninja's regular class day/time.

• Injury Suspensions: Memberships can be paused for injuries. Please submit the form ASAP with a medical certificate; suspensions are active from the date of submission.

6. Cancellations & Refunds

• Notice Period: To cancel without a notice period, forms must be submitted at least 2 weeks before a new term begins.

• Mid-Term Cancellations: Cancellations submitted during a term, or with less than 2 weeks' notice before a term starts, will incur a 30-day notice period.

• Refunds: Geelong Ninjas does not offer refunds for missed classes or events.

7. Safety & Responsibility

• Check-in: Please ensure your child checks in at Reception on arrival. Classes start and finish strictly on time.

• Supervision: Staff are not responsible for children dropped off early or picked up late. Ninjas should wait in the reception area if a parent is delayed.

• Parent Viewing Room: Children in the upstairs viewing room must be actively supervised by a parent/guardian at all times.

• Parking: Please drive slowly, park responsibly, and remain mindful of our neighbouring businesses and pedestrians.

GEELONG NINJA  TRAINING RULES, ASSUMPTION OF RISK, WAIVER OF LIABILITY AND INDEMNITY AGREEEMENT

CHILD ADDENDUM ASSUMPTION OF RISK

Geelong Ninjas training involves significant risk of serious injury to children and all other participants. Obstacle and Ninja training can be hazardous; risks include, but are not limited to, cuts, bruises, slips, trips, falls, collisions, sprains, and broken bones.

Our Ninja classes are structured sessions with coach supervision, and safety is our number one priority. Management and staff take every precaution to prevent accidents and injuries. However, if a participant acts in a manner that poses a risk to themselves, staff, or others, they will be removed from the program immediately. In the event of an accident or injury, our staff will contact emergency services (Ambulance) without delay. A qualified First Aid Officer is always on the premises.

Geelong Ninjas does not provide supervision for children outside of their scheduled class times. While inside the facility, you agree to take full responsibility for monitoring your child/ren to ensure they follow all rules and regulations.

WAIVER OF LIABILITY

I agree to release and discharge Geelong Ninjas Pty Ltd, its owners, operators, personnel, facility owners, agents, volunteers, and all related parties from all liability whatsoever. I waive all claims, demands, and actions for any injuries, harm, or damages sustained by the child/ren named below in connection with their use of, or presence at, this location or any Geelong Ninjas sponsored event (whether on-site or off-site).

This waiver applies to all incidents arising from negligent acts or omissions by myself, any other child at the facility, members, guests, or visitors. I agree to defend, indemnify, and hold Geelong Ninjas and its released parties harmless against all claims—including attorney fees and costs—brought by anyone related to such injury, harm, or damages.

SPONSORING ADULT RESPONSIBILITIES

By signing below, I agree to be the responsible sponsoring adult. I accept full responsibility for the supervision of the named child/ren to ensure they follow all facility rules while on the premises or at a Geelong Ninjas event.

In the event of an accident or incident requiring medical attention, I authorize Geelong Ninjas to act on my behalf if I am unavailable, but agree that I am ultimately responsible for all decisions regarding medical care, life-sustaining procedures, medication, and transportation to a medical facility. I accept all costs associated with such medical care and transportation.

I warrant that the child/ren are in good physical condition and do not have any medical conditions, injuries, or medications that would preclude them from safe physical activity.

NON-PARTICIPATING CHILDREN

I understand that Geelong Ninjas is not responsible for children who are not participating in a structured class. If I bring a non-participating child into the facility, I agree that they must remain away from all equipment and obstacles at all times to avoid injury to themselves or others. I accept full responsibility for their conduct and any damages that may occur as a result of their actions.

LEGAL GUARDIANSHIP ACKNOWLEDGMENT

As the true legal guardian of the minor child/ren named below, I hereby request their admission to Geelong Ninjas and agree to all terms stated herein.
